This policy outlines when and how appointments may be modified due to weather, what conditions allow detailing to proceed, and what clients can expect if weather interrupts a booking.

Emergency Weather Changes During Service**
1. Purpose and Scope
1.1 This policy exists to clearly define how Heritage Auto Detailing handles adverse weather conditions.
1.2 It applies to all residential, commercial, and fleet clients using mobile detailing services.
1.3 The goal is to ensure service quality, minimize vehicle risk, and keep technicians safe.
2. Weather Monitoring Practices
2.1 We use professional tools including Environment Canada, The Weather Network, and radar-based alerts to track:
Wind speed and gusts
Rainfall, snow, and freezing rain
Thunderstorm warnings
Air quality and temperature extremes
2.2 All decisions are based on real-time, location-specific forecasts to avoid weather-related issues during service.
3. Wind Policy
3.1 Conditions for Rescheduling
Services may be rescheduled when sustained wind speeds exceed 30 km/h or gusts exceed 40 km/h.
3.2 Reasoning
High wind can blow dust and debris into the vehicle, affecting final results. High winds can also cause safety issues towards our team members and potential property damage.
4. Rain and Precipitation Policy
4.1 Light Rain
Detailing may proceed only if the vehicle is sheltered (garage, parkade, overhead protection).
4.2 Moderate to Heavy Rain
All exterior services are postponed
Interior services may continue if performed in a dry, enclosed space
4.3 Snow or Freezing Conditions
All services are suspended in active snowfall, freezing rain, or unsafe conditions.
5. Winter Detailing Policy (November–March)
5.1 Minimum Requirements
Heated garage (minimum 5°C; ideally 10°C+)
120V power source within reach
Adequate lighting
Clear access to work around the full vehicle
5.2 Ineligible Locations
Open driveways, outdoor lots, and non-insulated garages
Any location without snow clearance or safe walking conditions
6. Summer Heat Policy (June–August)
6.1 Thresholds for Adjustment
Services may be delayed or relocated when temperatures exceed 28°C with direct sun exposure
6.2 Required Adjustments
Work may be shifted to morning or evening
Client may be asked to provide shade or garage access
Alternative products may be used for heat resistance
7. Air Quality & Environmental Alerts
7.1 Conditions for Delay
If Air Quality Index (AQI) is 5 or greater, services may be postponed for health and safety
Alerts such as wildfire smoke, heavy pollen, or dust storms will be reviewed case-by-case
7.2 Safety Measures
We may have to cancel or postpone your appointment to a later date due to health and safety.
8. Same-Day Weather Delays
8.1 Sudden Weather Shifts
If weather changes unexpectedly before your appointment, you will be notified by call or text with options to:
Delay the appointment later in the day
Reschedule to a new date (no extra cost)
8.2 Client Prioritization
Customers rescheduled due to weather are given priority booking status within the next available time window.
Rescheduled bookings may not take over existing pre-booked appointments.
9. Rescheduling & Cancellation Terms
9.1 Cancellations by Heritage Auto Detailing
No cancellation fees apply for weather-related postponements
Full service will be rescheduled at the next available opening
9.2 Cancellations by Client
If you wish to cancel due to weather concerns, we request at least 12 hours notice
Cancellations unrelated to verified weather issues may be subject to our general Terms and Conditions Policy
10. Customer Responsibilities
10.1 Pre-Appointment
Provide accurate details about the detailing location (shelter, power, space)
Notify us of any significant weather differences at your location
Ensure access to the service area is safe, clear, and suitable
10.2 Day-of-Service
Remain reachable by phone or text
Be prepared to assist with alternate parking or access if conditions change
11. Commercial Account Exceptions
For clients with fleet contracts, corporate partnerships, or building amenity programs:
Weather thresholds may differ based on indoor access and building infrastructure
Custom scheduling flexibility or backup dates may be built into your agreement
These terms are outlined and agreed upon in writing per contract

13. Emergency Weather Changes During a Detail
13.1 Definition of Emergency Conditions
If severe weather arises during your appointment, work may be immediately suspended in the case of:
Thunderstorms or lightning
Hail or torrential rain
Flash flooding
High wind gusts over 40 km/h
Freezing precipitation (winter)
13.2 Response Procedure
Service will be paused immediately for technician safety
Vehicle will be protected from exposure (drying panels, securing windows, etc.)
Work will be documented for partial completion
You will be contacted within 24 hours to reschedule or complete the service at no extra cost
13.3 Your Safety
If conditions are dangerous, we may leave the site and return once it is safe. We ask that you stay indoors and let us handle the protection of your vehicle and equipment.
13.4 Shelter-in-Place & Evacuation Procedures**
If a sudden weather emergency occurs during a detail, we will assess whether it is safer to shelter in place or to evacuate the work site based on real-time conditions and Environment Canada alerts.
Shelter-in-Place:**
If safe to remain on-site (e.g. inside a secure garage or parkade), we will:
Stop all equipment and detailing activity
Secure tools and chemicals
Remain indoors until the risk passes
Resume work only if it is safe and conditions allow
Evacuation:**
If conditions are unsafe to remain (e.g. open outdoor areas during lightning, high winds, hail, tornado, etc), we will:
Immediately cease work
Secure all equipment as quickly and safely as possible
Leave the site to avoid personal risk
Contact you once it is safe to coordinate rescheduling or completion
Customer Expectations:**
Clients are asked to remain indoors during extreme weather
If access to your garage or indoor space becomes unsafe (e.g. flooding), we will notify you
In any evacuation, our team will follow up within 24 hours with a full status update and service recovery plan
